Seattle Waldorf School is seeking an experienced, engaging, and highly organized front office coordinator to join the high school. We are looking for someone who can work effectively as part of a team, and independently. This individual will manage the operations and administrative support functions for the High School Business Office. Job Summary: Under general supervision, manages the operations and administrative support functions for the High School Office. The position supports the administrative and informational needs of faculty, students, parents and the general public by managing reception, registrar functions, facility use/maintenance, and communication.
Specific Responsibilities: Front Office Reception / Administrative Support -Manages the operation of the High School Office to ensure a welcoming, professional and efficient space for students, faculty, parents and visitors -Maintains daily attendance records; calendar & student schedule management -Manages/trains front office coverage -Coordinates transportation -Manages purchases including student books, classroom, office & maintenance supplies -Provides expense coding to accounting for purchases -Administers basic first aid and coordinates safely & emergency preparedness and implementation -Troubleshoots problems with office equipment; daily facility opening and closing duties; coordination of vendors.
Senior Systems Reporting -Manages all aspects of end-of-term reporting including creation of timeline, faculty report oversight, input of student & course information, and releasing of reports -Maintains all student records including emergency & health information, injury reports, acceptable use forms and school waivers
Communication -Compiles and circulates weekly student newsletter -Prepares and processes electronic correspondence on behalf of teachers/administration/parent committees -Maintains parent & student Google groups -Manages Trumba calendar -Creates and circulates class rosters/schedules to faculty -Schedules Adviser/Parent end-of-term meetings
Facilities -Coordinates facility rental & maintenance -Distributes & tracks keys and keycards -Manages front door and bell schedules -Ensures supplies are stocked for events and assists with event set-up, as requested
General -Coordinates school photos and IDs -Collaborates with offsite vendors for weekly student lunch ordering/delivery; janitorial; stocking and maintenance of vending machines; City of Seattle Parks and Recreation -Establishes and cultivates community relations by maintaining open dialogue with all of the school’s constituencies -Actively participates in the full life of the school -Vigorously engages in their own professional development; is a life-long learner who enhances their skills, using state-of-the-art technologies to maintain high standards of performance to efficiently and effectively produce work products -Is familiar with and complies with all policies and regulations as put forth in the school’s documents -Since safety and security are everyone’s responsibility, takes all necessary and reasonable precautions to protect students, faculty, staff, equipment, materials, and facilities -Performs other duties as assigned
Education & Experience: -High School Diploma or GED and equivalent experience required -Bachelor’s degree or higher from a four-year college or university preferred -Strong administrative experience required -Experience working in schools preferred -Experience with Student Record Databases preferred -Experience working in a Waldorf School environment preferred -First Aid certification required.
Required Knowledge, Skills & Abilities: -Welcoming and personable nature -Strong organizational and time management skills -Excellent written and verbal communication skills -Detail-oriented with strong attention to follow through -Good problem-solving skills & the ability to develop & implement administrative procedures to improve efficiency and effectiveness -Editorial judgment, strong grammar and spelling -Ability to communicate effectively with all school constituencies -Enthusiasm, flexibility, maturity, and a sense of humor -Ability to keep information in the strictest of confidence -Proficient at working with Google Suite in a Microsoft Windows 10 environment, using Office (version 2013 or higher); ability to master common automated systems for record keeping, and confidently learn new technology -Ability to work effectively in a busy environment with frequent interruptions and moderate noise -Ability to care for ill or injured students -Ability to visually focus on a computer screen for significant periods of time -Ability, unassisted, to lift and carry up to 30 pounds in weight
